One of the most valuable but
underused tools of the new generation of multifunction
devices (MFD) is scan to email. This is where you feed
a document through your MFD the same as you would when
copying. But instead of making a hard copy the MFD scans
it to an electronic file in either PDF or TIFF format
and sends it to your email address. The MFD can also
usually send a scanned document of this sort direct
from the MFD to any email address.
Historically, what has always
been a sticking point for this incredibly powerful tool
is that you need an email server to send them. Larger
companies usually have this on site but what about the
small to medium size business? Some will have an outside
company they outsource email through but many will still
be using the free email sites like Yahoo or Gmail which
do not offer the SMTP server service necessary.
